The Problem

Managing contractor compliance on spreadsheets
is a full-time job - and it still falls through the gaps

Principal contractors and compliance managers spend hours chasing insurance certificates, checking accreditation cards and manually tracking expiry dates across dozens - sometimes hundreds - of supply chain contractors. It's slow, error-prone, and the moment a document lapses, no-one notices until it's too late.

Without ContractorCompliance
  • Insurance certificates chased by email, filed in folders no-one checks
  • Expiry dates tracked in spreadsheets that quickly fall out of date
  • No visibility of which contractors are compliant until something goes wrong
  • Contractors submit documents once and never update them
  • Accreditation scheme memberships verified manually, one by one
  • No consistent scoring - every manager uses different criteria
  • Onboarding a new contractor takes days of back-and-forth
  • Audit trail? Whoever can remember what was checked and when
With ContractorCompliance
  • Contractors upload and maintain their own documents via a self-service portal
  • Automated expiry alerts sent to you and the contractor before documents lapse
  • Every contractor scored automatically - Gold, Silver, Bronze or Fail
  • Real-time compliance dashboard across your entire supply chain
  • Accreditation scheme verification tracked per contractor
  • Consistent scoring criteria applied uniformly across all contractors
  • Self-registration links get new contractors onboarded in minutes
  • Complete audit trail: who uploaded what, when it was reviewed, every decision recorded

How It Works

From invitation to compliance score
in three steps

ContractorCompliance is designed around the actual workflow of managing a supply chain - not a generic document system that's been re-labelled. Invite contractors, let them manage their own documents, score them automatically.

1

Invite or onboard contractors

Send individual invitation links or publish a self-registration URL. Contractors create their own account, enter their company details and begin uploading documents immediately. No manual data entry on your side.

2

Contractors manage their own documents

Each contractor has a branded self-service portal where they upload insurance certificates, accreditation cards, training qualifications and any other documents you require. You set the requirements; they handle the submissions.

3

Review, approve and score automatically

Your team reviews uploaded documents and approves or rejects them. The platform calculates each contractor's compliance score in real time based on what's approved, what's expiring and what's missing - and assigns a Gold, Silver, Bronze or Fail band.

Compliance Scoring

Every contractor automatically scored
Gold, Silver, Bronze or Fail

ContractorCompliance calculates a numeric compliance score for every contractor based on the documents they hold, their approval status and their expiry dates. Scores are assigned to one of four bands - giving you an instant read of your entire supply chain.

G

Gold

All required documents approved, none expiring within 30 days. Highest compliance confidence.

S

Silver

All required documents approved, but one or more due for renewal within 30 days.

B

Bronze

Most documents in order, but some missing, under review or recently expired.

F

Fail

Significant compliance gaps - key documents missing, rejected or long overdue.

Scores are recalculated in real time as documents are uploaded, approved and expire. The dashboard shows every contractor's current band at a glance, with filters and search to find exactly what you need.

Platform Features

Everything you need to manage
a compliant supply chain

Document Requirements & Approval

Define exactly which documents each contractor must hold - insurance, accreditations, method statements, training records, and more. Set expiry tracking per document type. Review, approve or reject each submission with optional notes fed back to the contractor.

Real-Time Compliance Dashboard

See the compliance status of every contractor in your supply chain at a glance. Filter by band, document status, trade category or expiry window. Identify who needs chasing before a document lapses - not after.

Self-Service Contractor Portal

Every contractor gets a dedicated portal to upload, manage and renew their own documents. Passwordless magic-link login. Works on any device. Contractors can also manage employee qualifications and training records via the same portal.

Invitation & Self-Registration

Invite contractors individually by email or publish a self-registration link to your supplier portal. New contractors complete their own onboarding, enter their company details and start uploading immediately. No manual data entry required from your team.

Automated Expiry Alerts & Renewal Requests

Automated notifications alert both your team and the contractor before documents expire. Issue targeted renewal requests for specific document types, with due dates and custom messages. Never be caught out by a lapsed certificate again.

Employee & Training Qualification Tracking

Contractors can add their employees and upload trade-specific training certificates and qualifications through the portal. Define required training types per trade category. Gaps in employee qualifications are reflected in the contractor's compliance score.

Pre-Qualification Questionnaires

Build and send pre-qualification questionnaires to contractors before onboarding. Contractors complete them through the portal and submit for review. PQQ approval can be used as a gate - contractors must pass before accessing further portal functions.

Non-Conformance Reports (NCRs)

Raise non-conformance reports against contractors for issues found on site or during document review. Contractors respond via the portal. Track status from open through in-progress to closed, with a full response history for each NCR.

Policy Adoption

Publish your own Health & Safety policies, method statements or site-specific documents for contractors to formally adopt. Contractors read and agree to the current version through the portal. Adoptions are recorded with timestamps for your audit trail.

Sites Management

Organise your contractor relationships by site or project. Associate documents, employees and compliance requirements with specific sites. Filter your dashboard and reports by site to see compliance at a location level.

Secure Messaging

Communicate directly with contractors through the platform. Messages are threaded per contractor and customer relationship. Contractors receive and reply via the portal - keeping compliance conversations in one auditable place.

AI-Powered Document Extraction

When contractors upload documents, the platform uses AI to intelligently read the document and extract key details - expiry dates, insured values, policy numbers and cover types - saving reviewers the time of reading every page manually.

Compliance Certificates

Generate a branded compliance certificate for any contractor showing their current score, band and document status. Contractors can download their certificate from the portal. Useful for pre-qualification submissions and client requirements.

Reports & CSV Exports

Export your full contractor register, document status reports and expiry summaries as CSV. Filter by any combination of status, trade, band or site before exporting. Schedule reports or pull them on demand for audits and management reviews.

Audit Trail & Data Security

Every action - document upload, approval, rejection, score change, message sent - is logged with a timestamped audit entry and actor attribution. All documents and personal data are encrypted at rest using AES-256 encryption.

Who It's For

Common questions answered

Everything you need to know before getting started.

What is ContractorCompliance?
ContractorCompliance is a cloud-based SaaS platform for managing the compliance of supply chain contractors. It allows principal contractors and clients to define document requirements, invite contractors to a self-service portal, review and approve uploaded documents, and automatically score each contractor's compliance status. The result is a real-time, auditable view of every contractor's compliance - without manual chasing or spreadsheet tracking.
Do my contractors need to pay for anything?
No. The contractor portal is included in your subscription at no cost to you or your contractors. Contractors access the portal via a secure magic-link login - there is no separate login system and nothing for them to install. They simply click their invitation link, set up their company profile and begin uploading documents.
How much does ContractorCompliance cost?
ContractorCompliance is priced per team, not per contractor, and every plan covers unlimited contractors. Standard is £4,560 a year and Professional £6,480 a year, billed annually and excluding VAT; Enterprise is priced to your requirements. The contractor portal is included at no extra cost. See the pricing page for what each plan includes.
How does the compliance scoring work?
The platform calculates a numeric score for each contractor based on the documents they hold relative to your requirements. Approved documents in date contribute positively; missing, expired or rejected documents reduce the score. The numeric score maps to one of four bands: Gold (all documents in order, none expiring imminently), Silver (all approved but some due for renewal soon), Bronze (partially compliant with gaps) and Fail (significant compliance deficiencies). Scores update in real time as documents are uploaded, approved or expire.
Can a contractor work for more than one of my customers?
Yes. A single contractor can be linked to multiple customer accounts on the platform. Each customer relationship is independent - different document requirements, different scoring, separate messaging. Contractors access a customer switcher in their portal to move between the different customers they work with. Each customer only sees the contractor's compliance data for their own relationship.
What document types can I require contractors to upload?
You can configure any document types you need - there are no restrictions on categories. Common examples include Employers Liability Insurance, Public Liability Insurance, Professional Indemnity, CHAS/Constructionline/SMAS membership, ISO accreditations, method statements, risk assessments, waste carrier licences, DBS certificates, and trade-specific qualifications. Some document types can be flagged as policies that contractors formally adopt rather than upload their own document.
How does contractor self-registration work?
You can generate a self-registration link from the platform and share it with prospective contractors - on your website, in tender documents or by email. Contractors visiting the link complete a short registration form, enter their company details, select their trade categories and submit. Their account is created immediately and they can begin uploading documents. You can configure the link with optional expiry dates or use limits. Self-registered contractors start in pending status until you approve their relationship.
How is data protected?
All personal data - contractor names, contact details, employee records - is encrypted at rest using AES-256 encryption. Documents are encrypted on our servers before they are stored, and are decrypted only on our servers when an authorised user opens them. The platform and its database are hosted in the UK; uploaded documents are stored in the European Union with Cloudflare R2, which cannot read their contents, and are backed up each night to a separate encrypted store in the EU. The platform is designed to meet UK GDPR requirements. Every action is logged in a tamper-evident audit trail. Access is managed through the Construct Software identity system with session controls and periodic token regeneration.
